MANAGER, CEO’S OFFICE

Our activities are geared towards encouraging people to subscribe to these principles, and demonstrating how these principles can be applied to public policy. We are looking for a team of high-performing individuals to strengthen the organisation as we grow according to our 2016 – 2020 strategic plan.

We are currently looking for a Manager, CEO Office, to join the organisation.

Salary range: RM6,000 to RM10,000 per month

Job Purpose:

  • Lead and oversee the management of all IDEAS projects to ensure all outputs and impacts are delivered on time and on budget
  • Assist the CEO to lead in various special projects
  • Assist the CEO in all assigned matters

Reports to: CEO

Main Responsibilities

Responsibilities will include, but are not limited to:

  • Manage and ensure the successful implementation of the organisation’s overall strategy by working with division leads to ensure effective and high-quality development, alignment and delivery of all projects
  • Establish systems to evaluate effectiveness of all projects and organisation initiatives
  • Provide comprehensive support to the CEO including liaising with external stakeholders such as donors, government, political parties, civil society, media, and others
  • Establish processes that ensure the CEO’s decisions are executed effectively and gather all relevant information to support the CEO’s decision-making
  • Undertake strategic and planning of projects as required and address arising challenges
  • Lead internal operations of the office including HR and admin functions
  • Provide inputs into organisation-wide matters as and when necessary
  • Other tasks as assigned

 

Education and Experience

  • Good undergraduate or postgraduate degree from a reputable institution
  • Prior project management experience or qualification

 

Knowledge, Skills and Abilities

  • Attention to minute details
  • Very good command of written and spoken English and Malay;
  • Experience leading high-performing teams;
  • Ability to work effectively with minimal supervision
  • Knowledge of human resource management is an advantage;
  • Strong ability to adapt quickly and handle challenges that are common in start-up environments;
  • Exceptional relationship-building skills with the ability to establish effective professional and working relationships with people of all working styles and backgrounds as well as the media;
  • Strong communication, presentation and interpersonal skills;
  • Ability to multi-task and work effectively in a fast-paced, deadline-driven environment;
  • Strong technical skills, including knowledge of Microsoft Office and Google apps;
  • Self-driven and motivated

SENIOR EXECUTIVE (COMMUNICATIONS)

Job Purpose: Assists in planning, implementing, monitoring and evaluating an advocacy and communication strategy to get IDEAS’ issues into the public domain, strengthen political will in support of the IDEAS’s work and objectives, and enhance the organization’s credibility and brand.

Reports to: Manager, External Relations

Main Responsibilities

  • Lead and provide technical support in the implementation of an advocacy and communications strategy
  • Provide support in the management of project implementation, ensuring compliance with funder requirements, financial procedures, and legal obligations
  • Coordinate the development and production of communication products (e.g. news stories/press releases, internal newsletters, media briefs, training documents, presentation materials) and communication activities
  • Conduct management and coordination of social media platforms and websites
  • Provide support in the development of relevant messages, use of appropriate media channels and providing strategic solutions to communication challenges.
  • Participate in communications planning and briefing, including press conferences and media interviews; Develop relations with the media to support IDEAS advocacy and communications goals
  • Work with internal and external stakeholders to draft information material and identify the most appropriate communication channels, messaging and audiences for dissemination purposes

Qualifications

  • Good undergraduate degree from a reputable institution
  • A minimum of 4 years experience in communications and/or marketing required
  • Excellent organizational, interpersonal and time management skills
  • Excellent written and verbal communication (minimum in English and Bahasa Melayu), presentation and facilitation skills
  • Prior experience in a non-­profit organisation or a communications role will be an advantage
  • Self-­driven and motivated individual

ADMINISTRATOR

Salary range: RM2,500 to RM5,000 per month

Job Purpose: To provide administrative and clerical support in the areas of administration, human resources, company secretarial, financial admin, legal and others as necessary, to ensure the smooth and efficient running of the organisation.

Reports to: Chief Operating Officer

Responsibilities will include, but are not limited to:

Overall

  • Support in the delivery of Unit strategy and allocated projects
  • Ensure all the relevant policies and procedures are observed
  • Provide admin and personal assistant support to the CEO and COO
  • Undertake any other duties as may be prescribed by superiors. HR Admin
  • Issue and manage the safekeeping of HR documents, files and forms
  • Assist in supervising holidays, medical leaves, and other HR matters
  • Help draft HR documents, files and forms
  • Conduct onboarding and induction briefings to new staff
  • Manage the recruitment of interns Administration and clerical
  • Act as receptionist, welcoming guests and answering calls
  • Ensure the office is fully equipped and clean, all equipments are working, all common areas are neat and supplies are available
  • Manage filing and office inventory, ensuring all documents and equipment are safely stored, easily accessible and well-­maintained
  • Manage IDEAS’ database and ensure its use is maximised for IDEAS’ needs
  • Support other staff as assigned

Qualifications

  • Diploma in any field
  • Minimum 2 years experience in office administration
  • Fluent in English, written and spoken
  • Ability to thrive in entrepreneurial, start-­up environment
  • Strong customer service ethics
  • Able to maintain strict confidentiality
  • Ability to multi-­task and work effective in a fast-­paced, deadline-­driven environment

Ideas Academy is a secondary-level learning center for underprivileged youth in Malaysia. We welcome students aged 12-18 years irrespective of nationality, religion and cultural background. The education IDEAS Academy provides is focused on personal development, which allows for excellence, creative and cultural enrichment.

Ideas Academy Sdn Bhd is a joint venture between IDEAS, an independent Malaysian think tank, and Stichting Young Refugee Cause, based in The Hague, The Netherlands.

MANAGER, DEVELOPMENT

Salary: RM4000 – RM 6000 per month plus performance bonus

Location: Jalan Metro Pudu, Fraser Business Park, 55100 Kuala Lumpur

The job scope includes (but is not limited to):

Fundraising

  • Plan, manage and lead fundraising activities to achieve fundraising targets
  • Develop and lead new initiatives including major donors, legacies, regular giving
  • Lead prospect research for national and international donors and foundations
  • Handle relationship management, grant writing and reporting
  • Grow income and improve the sustainability of the organization by proactively securing funds from new income streams
  • Identify opportunities for, and plan new, fundraising events and coordinate the implementation with the team
  • Continuously improve the effectiveness of existing fundraising operations
  • Contribute to the drafting of funding applications by others
  • Oversee the maintenance of necessary systems to support fundraising in conjunction with the Finance team

Stakeholder Management

  • Maintain an efficient and accurate fundraising database
  • Build on existing relationships with donors and funders, ensuring they receive regular updates of our activities
  • Hold donor events to keep them updated and engaged with our work

Overall

  • Develop and implement operational plan for the position, ensuring alignment with IDEAS’ mission and priorities
  • Build and strengthen the stakeholder network
  • Ensure all the relevant policies and procedures are observed
  • Undertake any other duties as may be prescribed by superiors
  • Manage the budget of selected projects, ensuring compliance with funder requirements, IDEAS’ financial procedures, and legal obligations

Qualifications

Candidates should have:

  • At least 3 years relevant experience in fundraising and grant-writing
  • Excellent command of English, written and spoken
  • Good presentation skills
  • Good networking skills
  • Good event organisations skills
  • Evidence of ability to work independently in a target-driven environment
  • Great attention to detail, especially when drafting documents
